Tenmist AI (“Tenmist,” “we,” “us,” or “our”) operates the website tenmistai.com and provides AI-powered after-hours phone receptionist services. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our services.

- Call recordings and transcripts from after-hours calls handled by our AI
- Caller information extracted during calls (name, phone number, address, reason for calling, callback preferences)
- Website usage data (IP address, browser type, pages visited) — collected only with your consent via cookies
- Cookies and similar tracking technologies (see Section 7 below)
3. How We Use Your Information
- To provide and maintain our AI receptionist service
- To send lead notification emails to our clients
- To generate daily call summary reports
- To respond to contact form inquiries
- To process payments and manage accounts
- To send service-related communications
- To comply with legal obligations
We do not use your call data to train AI models. Call recordings and transcripts are used solely to provide the service to the business client whose phone line the caller contacted.
4. Call Recordings and Transcripts
Our AI receptionist records and transcribes all phone calls for the purpose of providing accurate lead information to our business clients. Callers are informed at the beginning of each call that the conversation is being recorded. Call recordings and transcripts are:
- Stored securely and accessible only to the client whose business the caller contacted
- Used to generate lead summaries and email notifications
- Available in the client portal for review
- Retained for the duration of the client's active subscription (see Section 8 for retention details)
5. Information Sharing
We do not sell your personal information. We may share information with:
- Business clients: Caller information and call details are shared with the business the caller was trying to reach
- Service providers: Third-party services that help us operate (see Section 6 for a list of subprocessors)
- Legal requirements: When required by law, court order, or governmental authority
6. Service Providers (Subprocessors)
We use the following third-party service providers to deliver our service:
- Vapi — AI voice telephony (processes call audio and transcription)
- OpenAI — AI language processing (generates call summaries and conversational responses)
- Vercel — Website and application hosting (SOC 2 Type II certified)
- Neon — Database hosting (SOC 2 Type II certified)
- Google (Gmail SMTP) — Email delivery for lead notifications and daily summaries
- Google Analytics — Website usage analytics (only with your cookie consent)
Each provider processes data only as necessary to provide their service and is bound by their own privacy policies and data processing agreements.
8. Data Retention
We retain your data for the following periods:
- Call recordings and transcripts: Retained for the duration of your active subscription. You may delete individual records at any time from your dashboard.
- Lead data (names, phone numbers, call details): Retained for the duration of your active subscription.
- Contact form submissions: Retained for up to 12 months or until the inquiry is resolved.
- Account information: Retained for the duration of your account plus 30 days after cancellation.
Upon account cancellation, all call recordings, transcripts, and lead data are available for download for 30 days, after which they are permanently deleted within 90 days of cancellation.
9. Data Security
We implement appropriate technical and organizational security measures to protect your information, including encryption in transit (HTTPS/TLS 1.2+), encryption at rest (AES-256), secure data storage, and role-based access controls. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.
10. Your Rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Opt out of marketing communications
- Request a copy of your data in a portable format
- Withdraw consent for analytics cookies at any time

Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected personal information from a child under 18, we will take steps to delete it promptly.
